GENERAL TERMS AND CONDITIONS OF SALE – CABANIA (Dentelupus sprl) & Camp Regulations

These general rental terms and conditions are valid as of 04 June 2019.


These conditions determine the contractual relationship relating to the sale of individual stays between Dentelupus sprl and its customers, in the EcoCamp CABANIA, and in accordance with the Walloon Tourism Code. The conditions establish the steps necessary to book and pay for stays, and establish any follow-up between the contracting parties. Any document other than these general terms and conditions of sale – in particular leaflets, advertisements, catalogues – is for information and guidance purposes only. Definitions are as follows: “WEBSITE” refers to the website, published by Dentelupus Sprl. “CABANIA” refers to the establishments owned by Dentelupus sprl. “RENTAL” refers to the rental contract for the pitches or rental accommodation in the CABANIA EcoCamp. “RENTAL ACCOMMODATION” refers to all types of accommodation (chalets, huts, mobile homes, tents, etc.) available for rent from CABANIA. “STAYS” refers to a rental with additional services as specified within the special conditions. “CUSTOMER” refers to any person booking via the website, booking centre or directly with a campsite or village whose details are given below in order to book, order and/or purchase any services offered by CABANIA. These general conditions express the entirety of the obligations of each party. In accordance with this, the CUSTOMER is considered to accept them without reservation. These general conditions for renting and booking stays in a CABANIA camp or village apply to the exclusion of all other conditions. They are accessible via the website and will take precedence, if necessary, over any other version or any other contradictory document. CABANIA and the CUSTOMER agree that these general conditions exclusively determine their relationship. CABANIA reserves the right to modify its general conditions from time to time. They will be applicable as soon as they are available online. If a rental or booking condition is omitted, the practices applicable within the sector relating to the rental of campsite pitches and holiday villages, for companies with headquarters in Belgium, will prevail.


The purpose of these general conditions is to define the rights and obligations of the parties within the scope of the rental contract pertaining to campsite pitches, rental accommodation or stays offered by CABANIA within its various campsites and holiday villages to the customer, via the website but also by telephone or by post.

Pre-contractual information

The CUSTOMER acknowledges having received, prior to their booking, these general conditions of sale, rental and stay, as well as all other requested information. All information is made available to the customer online or the services can be explained to them by our booking managers at the French or Dutch central offices, or on-site, by telephone or via email.


  • 1) Rental of campsite pitches: CABANIA provides the customer with an empty pitch, which can accommodate up to 5 people, for a tent, caravan or motorhome. Depending on the campsite, CABANIA offers different types of pitch, the descriptions of which are outlined on the website. Pitch rates: This is a fixed rate per night depending on the type of pitch. The basic package includes a pitch, 1 or 2 people and a vehicle. Additional persons (adults or children) or additional items on the site (second vehicle, animal, tent or additional gazebo, etc.) are subject to an additional daily cost. The basic package allows access to sanitary and reception facilities, playgrounds and activities offered free of charge or for a fee. For security reasons, the number of people staying may not exceed the pitch capacity. The pitches are available from 3 pm on the day of arrival and must be vacated before 10 am on the day of departure.
  • 2) Rental accommodation: The description, definition of rental seasons, rental duration and rates per duration can be found on the website or the pricing lists available. The price of the rental accommodation includes the accommodation rental in accordance with the number of people (depending on capacity), charges (water, gas, electricity), a vehicle to be parked outside the campsite in the designated areas, access to reception services, playgrounds, other equipment and activities offered (free or for a fee). For security reasons, the number of people arriving may not exceed the accommodation capacity. Upon departure, the fully equipped accommodation must be clean and left in the state in which it was found. Rentals are non-smoking. Rentals are available from 3 pm on the day of arrival and must be vacated before 10 am on the day of departure. Some campsites can accommodate an afternoon departure instead of 10 am on weekends, except during school holidays. However, the CUSTOMER must specify at the time of booking or on arrival that they wish to depart at 4 pm. The campsite may refuse if the accommodation is occupied that evening. Transfer, subletting: All rentals are assigned to a named individual and may under no circumstances be transferred or sublet.


Prices are subject to change and can alter according to the season. CABANIA cannot under any circumstances be held liable for a difference in cost between two stays booked for the same period. The prices indicated on the website are in euros, with VAT included at the rate applicable at the time of receipt of the deposit and the remaining balance. Any change or modification of rates, as well as any change in taxes applicable to the stay, on the date of invoicing, may be reflected in the price of the stay.


The tourist tax due and which is collected on behalf of the municipalities is not included in our rates. The amount determined per person per day varies according to the destination and may change during the year.


Special offers are subject to certain conditions, including availability. In addition, price reductions or promotional deals may not be used in conjunction with any other offer unless otherwise specified. On these occasions, it is possible that customers may have paid a different rate for the same stay. Customers who have paid a higher price will under no circumstances be entitled to a refund of the difference between the price they have paid and the promotional price.


The customer is able to make a reservation online, by phone or by post, based on the representation of the pitches, accommodations and services as outlined on the website All bookings must be accompanied by a payment, which includes:
– A deposit, which is determined in accordance with the chosen rate and the booking date. This deposit will be between 30% and 100% of the total amount of the stay (rental only or rental with additional services).
– Any booking fees (€15) and insurance for cancellation/curtailment of stay. Please note that the deposit required for stays of 1 and 2 nights on a campsite pitch is 100% of the total amount of the stay. Whatever the chosen booking method, the reservation becomes effective only after receipt of a written booking confirmation from Cabania by email (and on request, by post) and, after receipt of the amount due for the deposit, and any booking and cancellation insurance fees.


For the booking to be valid following an online reservation, the customer must accept these general terms and conditions by clicking in the appropriate box and must confirm their payment. Following their reservation, the customer will receive a confirmation by email containing the details of their stay (content of the services, dates and duration, prices and payment terms). An electronic signature applicable to online sales, the online provision of the customer’s debit or credit card number and the final confirmation of booking will be considered proof of the customer’s agreement:

– payment of the amount due for the booking

– signature and express acceptance of all transactions carried out.

In the event of fraudulent debit or credit card activity, the buyer is advised to contact our reservation centre on +32 473 27 04 94  as soon as the activity is noted.


The full price of the stay is due:

– 30 days before the beginning of the stay

– Or immediately for any reservation made less than 30 days prior to the beginning of the stay

In the absence of full payment on the agreed date, CABANIA is entitled to consider that the customer has cancelled their reservation and to keep any monies already paid.


When booking, the payment of the deposit or the entire stay is to be made by debit or credit card (cards accepted are Visa, Eurocard/Mastercard). The transaction is immediately charged to the customer’s debit or credit card after verification of the customer’s data. The commitment to pay given by the use of a payment card is definitive. By supplying their debit or credit card information, the customer authorises CABANIA to debit this card by the deposit amount or that of the totality of the stay. To this end, the customer confirms that they are the holder of the debit or credit card to be debited and that the name on this card is indeed their own. The payment for the balance of the stay can be made by debit or credit card or in cash in euros.


The allocation of places (pitches or rental accommodation) is carried out without distinction in the order in which the bookings are received. Under no circumstances can the Management guarantee that the pitch or rental requested by the CUSTOMER will be assigned to them. If the accommodation/pitch of the customer’s choice is available, it will be assigned to them. Nevertheless, in the event of force majeure, CABANIA reserves the right to modify the allocation of the pitch or rental accommodation.


A request for changes to the services provided for a stay by the customer may be made up to 10 days prior to arrival. In this case, CABANIA will do its utmost to accommodate this request, depending on availability, providing the rate chosen is in line with the required changes. Any request for changes is subject to a fixed payment of €50 for each rental and/or pitch. In the event that CABANIA is obliged to modify the services initially agreed to during the stay, it will do its utmost to provide similar services. In the event that it is impossible to provide the equivalent service, CABANIA will reimburse the CUSTOMER.


Cancellation by CABANIA: any monies already paid will be refunded and as compensation, CABANIA will offer customers an equivalent stay (except in cases of force majeure).
Cancellation (total or partial) by the customer: the latter must notify CABANIA either by sending a letter to the following address: Dentelupus sprl, Service clients, rue de Revin 16, B-5670 Oignies en Thiérache; or by sending an email to The date of receipt of the cancellation will determine any cancellation fees. Failing this, the customer will be required to pay the monies due as per the contract. Regardless of the cancellation date chosen, the booking and insurance fees are non-refundable.
Cancellation fees for a stay at Cabania

Stays in rental accommodation:

For any stay cancelled more than 30 days prior to arrival, a cancellation fee of €50 per rental, the booking fees and where applicable the cancellation insurance fees will be retained.

From 30 days prior to arrival, or in case of non-arrival at the campsite, the total amount of the stay is due and retained.

Stays on campsite pitches:

For any stay cancelled more than 30 days prior to arrival, a cancellation fee of €50 per pitch, the booking fees and where applicable the cancellation insurance fees possible will be retained.

From 30 days prior to arrival, or in case of non-arrival at the campsite, the deposit amount is retained.

Non-use of additional services: The non-use of services provided for the stay cannot give rise to a refund.


CABANIA can offer stays and rentals at preferential “no flex” rates on specific dates that are non-modifiable, non-refundable and non-exchangeable. The cancellation and modification conditions previously outlined are not applicable in this instance. Consequently, no reimbursement can be made, including the reimbursement of any additional services that may also have been booked.


In the absence of a message from the CUSTOMER with acknowledgement of receipt, stating that the date of arrival had to be postponed, the pitch or accommodation becomes available 24 hours after the arrival date agreed in the rental contract, and full payment of the services remains required. No reduction will be granted in the event of an early departure for rental accommodation (see refund options under the cancellation insurance). In the case of an early departure for stays on a pitch, we will only retain the deposit for the days not taken if the stay was booked in advance.


For any stay in rental accommodation, a security deposit of €500 will be requested on arrival at the campsite at the latest; this security deposit is also valid for bicycle rental. Payment may be requested by debit or credit card. This will be returned in its entirety on the day of departure or within eight days at the latest, after a check of the accommodation by housekeeping and a satisfactory report. Otherwise, the security deposit will be deducted in full. Any damage exceeding the amount paid as a security deposit will be charged to the customer after the security deposit has been charged.


The CUSTOMER must return the accommodation in a perfectly clean state. In most of our establishments, the customer can request that we carry out the cleaning for a fixed price, starting from €25 (this amount can vary according to the season or the location – refer to the additional rates for the required destination).


Any free or paid activity mentioned on our website, in an email or offered on site may, in certain circumstances, be modified or cancelled upon your arrival on the site.

Only one pet is allowed per rental accommodation or pitch, at a fixed rate per day. The CUSTOMER must inform us of this at the time of booking or upon arrival on site. Pets are not free to roam and must be kept on a lead. They are not allowed in the communal areas (restaurant, auditorium, bar, swimming pools). We will accommodate pets on two conditions: – valid rabies vaccination – identification by tattoo or microchip and certified by a card issued by the Société Centrale Canine, the Belgian Kennel Club. The customer must carry the animal’s health record and comply with the rules and regulations of each site. Dangerous or aggressive animals (1st and 2nd category dogs prohibited – please refer to the dangerous dogs list for the country) as well as “exotic pets” are not allowed.


In order to ensure our customers’ stay runs smoothly, a list of our rules and regulations is available at the reception desk of each of our sites. We thank our customers for reading and respecting it. In the event of obvious non-compliance with these regulations, the Site Director may impose sanctions that may extend to termination of the contract.


CABANIA declines all responsibility in the event of theft or damage to personal belongings, both in rental accommodation and in communal areas. CABANIA cannot be held responsible for the theft or damage to customers’ personal belongings, except in the event of proven failure by the campsite to comply with its contractual obligations. Please also note that car parks are unsupervised, and that parking is therefore at the customer’s own risk. CABANIA also declines any responsibility in the event of an incident falling within the CUSTOMER’s civil liability.


The personal data of customers is collected and processed by CABANIA. Some data is essential to manage the CUSTOMER’s booking and will also be used to send information and/or promotional offers. In accordance with the law, the CUSTOMER has the right to access, modify, correct and delete personal data concerning them. Any circumstances beyond the control of either party which prevents normal fulfilment of their obligations shall be considered grounds for exemption of their obligations thus leading to their termination. The party which cites the circumstances referred to above shall immediately notify the other party of their occurrence, as well as of their disappearance. Force majeure shall be considered to be any uncontainable, unforeseeable, unavoidable fact or circumstance, which is beyond the control of the parties and which cannot be prevented by them, despite all reasonable efforts. Specifically, the following are considered as cases of force majeure or unforeseen circumstances, in addition to those usually considered by the jurisprudence of French courts and tribunals: storms, floods, lightning, earthquakes, fires, cessation of telecommunication networks or difficulties specific to telecommunication networks out of the customer’s control, blockading of means of transport or supplies. The parties will approach each other to examine the impact of the event and agree on the conditions under which the contract will continue to be fulfilled. If the case of force majeure lasts more than three weeks, the pitch and accommodation rental contracts will be automatically terminated.


If one or more stipulations of these general terms and conditions are held to be invalid or declared invalid pursuant to a law, regulation or following a final decision of a competent court, the other provisions shall retain their full force and scope.


If one of the parties does not invoke a breach of any of the obligations referred to in these general conditions to the other party, this shall not be interpreted in the future as a waiver of the obligation in question.


These general terms and conditions of sale are written in French. In the event that they are translated into one or more foreign languages, the French text alone shall prevail in the event of a dispute.


In the event of a dispute concerning the validity, interpretation, implementation or non-fulfilment, modification or termination of the contract, the customer and CABANIA shall endeavour to find an amicable solution. To this end, the customer will send their complaint by registered letter with acknowledgement of receipt to Dentelupus sprl – Service relation clients, rue de Revin, 16, B-5670 Oignies en Thiérache or to the following email address: within one month following the stay. In the absence of a satisfactory response, either by the customer or by CABANIA, to a complaint formulated under the conditions previously mentioned, the party that initiated the action shall submit the dispute to a mediation body. In the event that mediation should fail, the customer and CABANIA may refer the matter to the competent Belgian court.


These general conditions are subject to the enforcement of Belgian and Walloon law. This is the case for both substantive and formal rules. In the event of a dispute or claim, the customer will first contact CABANIA to obtain an amicable solution.
